The things customers feel most about a class or a plan are what it costs, how late they can book, how late they can cancel and who is old enough to join. Booking and price rules puts all of them in one sheet, so you do not have to open a different sheet for each.
Where to Find This
Open What you sell in your console and press a class, camp, plan or pack. Its sheet opens beside the list. Near the foot, press the Booking and price rules row. Only administrators can change these. See The What You Sell Screen.
The row says what the sheet holds. For a class it names who the class is for, then the one plan that sells it with its price, or "In 3 plans and packs, from £30.00 a month" when several do, then the booking rules when every plan shares them, or "Booking rules differ by plan" when they do not. For a plan it says its price, "and when customers can book and cancel". A product has no booking and price rules; its price is in its own sheet. See Setting Up Your Merch Store.
The sheet is headed Booking and price rules, with the name of the class or plan under the title. For a moment it says "Reading your prices and rules". If it cannot read them, it says why, with a Try again button.
What the Sheet Holds
What Does It Cost?
For a class or camp there is a block for each plan that sells it, named for the plan. A plan or pack has just the one. Each block holds:
- Price, with how often it is billed if it repeats, for example Price per month. Set it with the number box. It is in the currency you sell in.
- Booking closes: how long before a session starts customers can still book. The choices are When it starts, 1 hour before and The day before.
- Customers can cancel (Parents can cancel at a kids' club): how close to the start a customer can still cancel. The choices are Any time before it starts, Up to 1 day before and Up to 7 days before.
If the plan already holds a different value, for example a cut-off of 3 hours, it is listed with the others, so it shows and is kept.
A plan that includes no class yet has no booking rules to hold, so its block holds the price alone.
These two rules belong to the plan, not to one class. When a plan also includes other classes, one line under the What does it cost? heading says so: "Booking rules belong to the plan, so they also apply to Mini Kickers and Rugby." When the plans reach different classes, it says they also apply to the other classes each plan includes. Changing them here changes them for each class on the plan.
Under the blocks a line reminds you: "A new price is made. People already paying keep the old one."
The other booking rules, how far ahead people can book and how long a freed place is held for the waiting list, are under What it includes on the plan. See Plans & Booking Quotas.
Who Can Book It?
For a class or camp that has sessions of its own, a line says who it is for, such as Any age or "Ages 3 to 5 years". Press Edit to change the youngest and the oldest age. The oldest cannot be younger than the youngest. See Setting Session Times at a Venue for how the age boxes work.
Saving sets these ages on every session that belongs to this class alone. Two lines may appear under it:
- "Its sessions have different ages. Saving gives them all these." when its sessions did not match each other.
- "Sessions it shares with another class keep their own ages." Those sessions are changed on the session itself.
The Plans and Packs It Is In
For a class or camp, a row for each plan or pack that includes it follows. Each row says "What it includes and who can buy it", and opens what that plan includes. While you have a change here that is not saved, the rows say Save this first, because opening one would drop the change.
Can New Customers Try It Free?
For a class that is for a group, More options holds Free taster: None, One free session each, then 2 free sessions each up to 5 free sessions each. The line under it says "A free session books a real place. One that is cancelled can be booked again." More options opens by itself when the class already gives a taster.
If your Bizzly plan does not include the free trial, a card headed Not in your plan yet ("The free trial is part of a higher plan.") with a See plans button stands in its place.
Saving
Until you change something, the top of the sheet says Saved. Once you do, Cancel and Save appear at the foot. Cancel closes the sheet and leaves everything as it was.
Press Save. If you changed the price, Bizzly makes the new price first, and then saves the rules, the ages and the taster. A line under the form says which it is doing: "Changing the price", then "Saving the rules". If the second part is refused, the sheet says why under the form. The new price stays made, and pressing Save again carries on with the rest without making the price twice.
If a change reaches people who are already on the plan, a question comes first: Change what people already have? It says how many people, for example "3 people on it", and you press Go ahead or Keep it.
When it goes through, the sheet closes and a message at the bottom of the screen says what changed, for example Price changed or Rules changed.
A changed price is a new price. Customers already paying keep the old one. To move them onto the new price, see Moving Subscribers to the Current Price.
If a Class Has No Price Yet
A class with no plan on sale has no price to change here. If you press Booking and price rules on one, the sheet says "This has changed since you opened your website. Close this and open it again." Close it, press Edit details on the class's sheet, and under Which plans include it? press Set a price. See Adding a Class or Camp, Step by Step. Until Stripe is connected there is nothing to price it with.
