The Day screen is the timetable of your business. It shows every session on a day against the hours, whether or not anyone has booked it, with how many places are taken, and the one-to-one appointments booked for that day. Switch it to Week to see seven days together, or to Month to see how busy each day is. Press a session to open it beside the timetable and take the register.
Where to Find This
- On Bookings, press Calendar at the right of the heading. It opens the Day screen. On a phone Calendar is a small calendar icon.
- On Home, press Open the week beside Today to open the week, or an appointment's row in the Today section to open today. See Using Home.
- On Customers, press the Sessions by day row (Who is coming, and the register).
- Once you are on the screen, the Day, Week and Month buttons at the top switch between the three.
The back arrow at the top of the Day returns you to Bookings. On the Week and the Month it returns you to Home.
Moving Around
Under the heading is the calendar bar:
- Day, Week and Month, side by side, choose how much you see.
- The arrows either side of Today step back or forward by a day, a week or a month, to match. They are named Previous day and Next day, Previous week and Next week, and so on.
- Today brings you back to today.
- The stretch of time you are looking at is said once, under the title, with how many sessions it holds: for a day, for example "Wednesday 28 October, 6 sessions, 2 appointments"; for a week, "Mon 26 Oct to Sun 1 Nov, 18 sessions"; for a month, "October 2026, 54 sessions". When the title is already the date, the line holds the count alone. The count uses your business's own word for a session, so a business that runs classes sees "6 classes".
- On the Day view, a Day box at the end of the bar takes any date.
The circular arrow at the right of the heading (Refresh this day, Refresh this week or Refresh this month) reads the screen again, and a message such as This day updated confirms it.
Days are told on your venue's clock, so Today is today where your sessions run, even if you are somewhere else. On the Day the title says Today, Tomorrow or Yesterday when it is, and any other day shows as, for example, Thu 15 Oct.
You can look up to 400 days either side of today. On Week and Month, the whole week or month has to lie inside that limit. Choose a day further away and the screen says, for example, Choose a day within 400 days of today. (on Week and Month it says week or month in place of day), with a Go to today button.
The Day
The day is drawn as a timetable. The hours run down the left, from the hour the first session starts in to the hour the last one ends in, and never cover fewer than three hours. When you are looking at today, a line marks the current time while it falls inside the hours drawn. Each session is a block at its start time, as tall as it runs, and never shorter than its own lines, so the hours are drawn tall enough for every word to be read. Sessions that overlap stand side by side. Sessions that start and end together are one block, with the time said once and a line for each session, each with its venue and its places, so two venues' sessions at the same time are both listed and six whole-day camps do not become six slivers. Every session of the day is on the timetable, whether or not anyone has booked it. A thin coloured line runs down the left edge of each block, and the same class always has the same colour. A session block shows:
- the time it starts and finishes, and the name of the session
- the venue it runs at
- how many places are taken, such as "3 of 12", or "3 booked" for a session with no set number of places
- a Not on the calendar label, if the session has been removed from your Google Calendar but still has bookings
A long name is cut short on the block. Hold the pointer over it to read all of it.
Press a session's block to open it beside the timetable, where you take the register. See Opening a Session below.
The one-to-one bookings for the day are blocks of their own kind, each with its time and service. If your role can take registers, the name it is booked under is shown too. An appointment is a booking, not a session, so its block does not open anything: to move or cancel one, find it on the Bookings screen. See Managing Customer Bookings.
A day with nothing on says Nothing on this day. If a closure covers the day, it says so instead, for example Closed: October break, or Closed at Hove Park Pavilion when the closure is for one venue. See Closures.
Finding a Session or a Person
The search at the top of the screen narrows the day as you type. It looks at the session names, the venues, and, if your role can take registers, the names of the people booked in, so the quickest way to answer "which session is Sam in?" is to type "Sam". When nothing matches, the day says Nothing on this day matches.
When the day has more than one venue, a row of buttons above the timetable lets you narrow it to one: All venues and then each venue by name. When it has more than one service, All services and each service work the same way. A long list of names wraps onto more lines. Appointments are not at a venue, so a venue button leaves them alone. Clear filters appears while anything is narrowing the day and puts it all back.
On a phone, the buttons are folded behind one Filter button, which reads Filter (1) while one is chosen. It opens a sheet called Filter sessions that holds the same buttons.
If the Day Cannot Be Read
A day that could not be read says why, and is never shown as an empty day:
- Google Calendar needs reconnecting before this day's sessions can load. An administrator sees a Reconnect Google Calendar button, which opens the Connections sheet. A role that cannot open it sees the sentence alone.
- This day's sessions could not be loaded. (on the Week and the Month, it says week or month) or This day could not be read just now, so it may not be empty. Try again. Each has a Retry button.
- Google Calendar could not be read just now. Try again.
Opening a Session
Press a session's block (on the Week on a phone, its row) and the session opens beside the timetable, with the timetable still showing and still working. It is the same session you would reach from Bookings or Home: who is booked, the register, the waiting list, and the buttons to email, print, add someone, move or cancel. See Taking the Session Register.
How it opens depends on the room your window has:
- On a wide screen (about 1,100 pixels wide or more), it stands as a column beside the timetable, headed with the session's name. On a wider laptop window (about 1,360 pixels or more), the day's first session is already open there when the day opens, and so is each day you move to, unless you closed it.
- On a tablet or a narrower window, it opens over the right-hand edge of the screen.
- On a phone, it fills the screen, with Back at its top.
Close it with the Close button at its top, or press Escape. The circular arrow at the top of the column (Refresh this session) reads the session again. When you move someone, add someone or cancel, the timetable behind it updates too. If you hold Ctrl or Command while you press a block, or use the middle button, the session opens on a screen of its own in a new tab instead. See How Changes Work.
The Week
Week shows seven days from Monday to Sunday. Its title is This week, Next week or Last week, or the dates for any other week, for example "Mon 12 to Sun 18 Oct". The calendar bar writes the dates out whichever week it is.
On a laptop or desktop window with room for it, the days run side by side as seven columns on one timetable, each headed with its day and date, such as Mon and 12 Oct. The hours run down the left for all seven. Each session is a block at its start time, as tall as it runs, showing its start time, its name and the places taken. Where a day runs at more than one venue and you have not narrowed to one, the block names its venue too. Sessions that overlap stand side by side, and sessions that start and end together are one block, with a line for each session, its venue and its places. Every block is as tall as its lines. Today's column has its heading in the accent colour and a lightly tinted background and, while the current time falls inside the hours drawn, a line at the current time. A week with nothing on is drawn from 08:00 to 18:00.
A day that a closure covers, with nothing on, is hatched. Its heading says Closed in place of the date, and the column says why, such as Closed: October break. A day with nothing on says Nothing on. A week with nothing on says Nothing on this week. The search and the venue and service buttons narrow all seven days at once, and a week with nothing left says Nothing in this week matches.
When there is not room for seven columns (on a phone, in a small window, or on most laptop windows while a session is open beside the week, because the open session takes up the room), the week shows one day at a time. A strip of the seven days stands above the list. Each day is its letter and its number, today's number is in the accent colour, and the day on show is filled. A small dot under the number marks a day that has something on it, so the week does not look empty until you press a day. Press a day to see it. The week opens on the day you came in on, which is today when you arrive without one. Under the strip the day is headed with its full date, and Today, leads it when it is today. Below the heading are its sessions and appointments in rows, twenty at a time, with Previous and Next under them when there is more than one page. Each row shows the time and name, with the places taken at the end, and the venue under it when the day runs at more than one.
If some bookings could not be counted, a note says Some bookings could not be counted, so a place count may read low.
The Month
Month is a grid of the days of the month, Monday first. Its title is This month, Next month, Last month, or the month and year, for example "October 2026". Each date shows its number, and:
- on a wide window, how many sessions run that day, how many places are booked and how many appointments, for example "3 sessions", "18 booked"
- on a phone or a narrow window, the number of sessions and, under it, the number of places booked, when there are any
- for a day with nothing on that a closure covers, the word Closed, with the reason under it on a wide window (and, when more than one closure covers the day, "and 1 more" under the reason)
Today's date is marked. Press a date to open that day. The month shows counts only, never names, so the search at the top of the screen does not narrow it. If you have more than one venue, the venue buttons narrow the figures to one venue's sessions. On a phone they fold behind the Filter button, as on the Day.
If some bookings could not be counted, a note says Some bookings could not be counted, so the places booked may read low.
Moving a Whole Session by Dragging It
On the Week view you can move a session to another day by dragging it.
- 1
Pick the session up
Pick up the session's block with your mouse or trackpad and drag it onto another day.
- 2
Drop it on the new day
The Move this session sheet opens with the new day already chosen and the time kept the same.
- 3
Check it and press Move this session
Nothing has moved yet. Change the time if you need to, decide whether the customers are told, and press Move this session. See Moving a Booking or a Whole Session.
A few rules:
- Dragging works on a laptop or desktop with a mouse or trackpad, in a window wide enough for the seven columns. If an open session leaves too little room, close it first. A touch screen never drags, however wide it is. On a phone or tablet, open the session and use Move this session there.
- Only a role that may change bookings can drag.
- A session that has already run, one that is no longer on the calendar and one with no readable time cannot be picked up.
- A day before today does not take a drop, and dropping a session back on its own day does nothing.
- Only sessions can be dragged. An appointment cannot.
- Dragging changes the day and keeps the time. To change the time, change it in the sheet.
The Week view is the quickest way to read your timetable back and see whether each class sits in the right hour. On a laptop or desktop, every session is a block against the hours of its day. See Checking Your Times on the Week Screen.
What Your Role Sees
You need View on The register or on Bookings and the calendar to open these screens. Without either, the screen says Your role does not include the day. (or the week, or the month). Names of the people booked in are shown only to a role that can take registers. A role with the bookings permission alone sees the sessions and their counts without names. Only a role that may change bookings can drag a session.
To change what someone can see, see Managing Your Team.
