A season is a named block of your year — "Autumn 2026 runs 8 Sep to 12 Dec". You set those dates once, on the Seasons card, and everything that sells a run of sessions points at the season instead of repeating the dates: a season pack sells exactly those dates, and a season subscription moves members into the next season automatically when it starts.
The Seasons card sits on the Locations & Hours sub-tab, below your locations and below Breaks & closures.
It only appears once you have at least one location, and you either already have a season or you've set a price to enrol customers into a run of sessions — so businesses that only sell credits never meet the idea.
To open it anyway, go to the Overview sub-tab, open Quick actions, type "seasons" into the Search tasks box and choose Set up your seasons. That takes you straight to the card — as long as you have a location set up.
Some in-app notes call this "Availability → Seasons" — it's the same card on the same sub-tab.
What a Season Does — and What It Doesn't
A season is a selling window, not a timetable.
- It does set the dates a season pack covers, and the run of sessions a season subscriber is booked into.
- It doesn't change your weekly schedule. Adding, moving or deleting a season never adds or removes a single session from your calendar.
So if nothing actually runs between two seasons, add a break for those dates in Breaks & closures — otherwise those weekly sessions keep appearing and look bookable. See Breaks and Closures.
Adding a Season

Click Add season
The button sits in the top corner of the Seasons card (just Add on a phone). A window headed Add a season opens.

Give it a name
Something you'd recognise on a list — the placeholder suggests "e.g. Autumn 2026". Up to 80 characters. Two seasons can't share a name: you'll be told This site already has a season called "Autumn 2026" if you reuse one.

Set From and To
The first and last date of the season. The To date can't be earlier than the From date.
Seasons can never overlap each other. If the dates clash you'll see the clashing season named, for example Those dates overlap Autumn 2026 (2026-09-08 – 2026-12-12) — seasons on one site can never share a date.

See When One Location Runs Different Dates below. Leave them blank and every location uses the season's own dates.

Click Add season to save
The button at the bottom of the window saves it. You'll see "Autumn 2026 added — packs can now reference it."
When One Location Runs Different Dates
Most of the time every location follows the same season. When one starts a week later or finishes a week earlier, use Location exceptions inside the season window.
The section is labelled Location exceptions, with the hint "optional — only for a location that starts or ends on different dates; blank = the season dates". Each location with a connected calendar gets a row: its name, a From date and a To date.
- Fill in both dates and that location uses them instead of the season's.
- Leave both blank and it inherits the season's dates.
- Fill in only one and you'll be told "Enter both dates, or clear both so the location inherits" — a half-filled pair is never saved.
A location exception belongs to the season, so every pack and subscription on that season follows it. That's the point — set it once here rather than on each pack.
Your Season List
Seasons are listed earliest first, with these columns:
- Season — the name.
- Status — a Current badge on the season running today, and a Next badge on the one that follows it. Others show a dash.
- Dates — the season's own from/to dates.
- Location dates — All locations when there are no exceptions, or a badge reading e.g. 2 location exceptions.
- In use — how many of your plans point at this season (for example 3 plans), with any deactivated ones counted separately as (+1 inactive). If only deactivated plans use it, this reads No live plans. Hover to see their names. A season nothing references yet shows a dash.
- Actions — Edit, Duplicate and Delete.
On a phone each season becomes a compact card instead: the name with its Current or Next badge, the date range underneath, and either 3 plans or Not referenced yet. Location dates and the inactive-plan count aren't shown there — open the page on a larger screen for the full table. The card ends with full-width Edit, Duplicate Season and Delete buttons.
Changing a Season's Dates
Editing the name alone saves straight away. Changing dates — the season's own, or a location exception — is different, because it moves everything that follows the season. Before saving, the window shows a summary and asks you to confirm:

with a count for each of:
- the pack prices that will re-work their dates (named, where they're known);
- the live subscribers who follow this calendar;
- the future bookings that sit inside the current dates.
Choose Keep editing to go back, or Apply the new dates to go ahead. While the summary is showing, the form fields are locked so the dates you confirm are the dates that get saved.
If the counts can't be loaded you'll see "The exact counts couldn't be loaded — the edit still applies to every pack and subscriber on this season" — you're still asked to confirm, never silently skipped.
After saving you'll see "Autumn 2026 updated — every pack on this season now follows the new dates."
If a location exception would end up completely outside the season's new dates, the save is refused with a message like "1 location exception(s) would fall completely outside the new dates — update or remove those location dates first". Fix the location's dates first, then change the season.
Setting Up Next Year in Two Clicks
Duplicate opens the Add a season form pre-filled from an existing season, shifted forward 52 whole weeks so every date lands on the same weekday (a straight "+1 year" would drift the weekday and misalign your weekly classes). A year in the name is bumped for you — "Autumn 2026" becomes "Autumn 2027"; if there's no year in the name it becomes "Autumn copy". Location exceptions shift with it.
Check the dates, adjust anything that's moved, and click Add season.
Deleting a Season
Click Delete on the row. What happens depends on what the season is tied to:
- Nothing uses it — it's removed, and you'll see "Autumn 2026 removed."
- A plan still points at it — nothing is deleted. You'll see the blockers named: "Autumn 2026 is still used by: Autumn Term Pack, Mini Kickers (inactive). Move those packs to another season first." Deactivated plans count too.
- Someone is still enrolled or a purchase is still open — nothing is deleted: "Autumn 2026 still has 4 active commitment(s) — cancel or complete those subscriptions/purchases first."
- It only has finished purchases — it's archived rather than deleted: "Autumn 2026 archived — it has purchase history, so it stays on record but leaves live use." An archived season disappears from the list and from every season dropdown, but its records are kept.
Warnings You Might See on the Card
"Autumn 2026 has no following season yet — add the next one so packs and subscriptions have somewhere to roll." Your last season ends within about four months and nothing follows it. Season subscribers need a next season to roll into, so add it before the current one runs out.
"12 sessions across 2 locations sit in the 13 Dec 2026 – 4 Jan 2027 gap (Autumn 2026 → Spring 2027) with no break authored — they look bookable to members. Add a break in Breaks & closures if nothing runs between seasons." Your weekly timetable keeps producing sessions between two seasons. If you're closed then, add a break for those dates; if you really do run something, no action is needed.
Seeing Seasons from a Location
Seasons are only created and edited on the Seasons card, but two places show you how they land at a particular location. Open a location from the Locations & Hours sub-tab:
- Availability tab — a read-only Seasons at this location panel lists each season with the dates that apply here. Where the location has its own dates, the row adds "this location's own dates" and shows the season's default in brackets. A note reminds you that "Seasons bound what packs and subscriptions sell — they never change this location's schedule." (This tab is only available when the location's booking mode is Dynamic or Both.)
- Fixed Slots tab — each time slot shows how many sessions it contributes to each season at this location, for example "Autumn 2026 · 12 — Spring 2027 · 11". Dated one-off slots show none, because camps sit outside seasons. The same between-season gap warning appears here too.
Setting Up Seasons During Onboarding
If you're still in the setup wizard, on the Configure Your Business step, the Seasons card works the same way with two differences — because nothing has been created yet:
- No impact check on a date change. There are no live subscribers or bookings to move, so date edits save straight away with no confirmation summary.
- Renaming is safe. Any pack you've already pointed at the season is updated to the new name for you.
- Deleting is still blocked by a pack that uses it — you'll be told which packs, and asked to move them to another season first.
