Needs you is one list of everything in your business that is waiting for you. A customer's payment failed, people are waiting for a place, a review needs a decision: each one is a row with a plain sentence about it and the one thing to do. You do not have to hunt through the console for them.
Where to Find This
Open Home and find the Needs you section. Press See the details, or See all 6 when more than five kinds of thing are waiting. The list opens as a sheet headed Needs you, beside Home on a laptop and filling the screen on a phone. See How Changes Work.
A row whose button opens the sheet (See who, See the orders or Read them) opens it with that kind of thing at the top, and the sentence from the row, such as "6 orders are waiting to be sent", stands under the title. See the details and See all open it at the most urgent kind. The sheet has an address of its own: the browser's Back button closes it, and reloading the page opens it again at the same kind. Opened without a kind in mind, it lists everything with the most urgent first and says Most urgent first under the title.
Some rows on Home carry their own button for the job, such as Reconnect or See your plan. See Using Home. The sheet is where each person, order or review behind a row is dealt with, one at a time.
With nothing waiting, Home says All clear. and the sheet says Nothing needs you right now.
What a Row Tells You
Each row has:
- a sentence saying what it is, for example "Sam's payment failed"
- a line under it with the detail, such as the plan and the amount, or the session and when it runs
- how long ago it began to need you (for a last season it shows when the season ends instead)
- the buttons for what you can do about it. The row's main button is filled. Where a row has both a link to a screen and an act, the act is the filled button and the link is outlined
The most urgent things come first. The list shows up to a hundred items, and at most 25 of any one kind, twenty at a time (Previous and Next under the list turn the pages). The sentences on the Needs you section of Home count everything (for example "40 customers have a failed payment"), so they can be higher than the rows listed here. The number beside Needs you on Home is how many kinds of thing are waiting. When there are more than twenty, a Search what needs you box appears so you can find a name or a subject quickly.
What Can Appear
You see only the kinds your role covers. Items about your Bizzly plan, refunds, Google and replaced plans are for administrators.
Dealing with an Item
Press the button on the row. When it works, the row leaves the list at once and Home reads itself again, so the count beside Needs you goes down. A message at the bottom of the screen says what happened.
- Approve a review: the message says Review approved. It is on your website now. and offers Undo for a few seconds. The list closes itself so that you can press Undo. If you do, the review goes back to waiting for you.
- Reject a review: this button sits apart from the others, under a line, so it is never next to the one that says yes. The message says Review rejected. This cannot be undone from here.
- Mark as done on a refund: the message says Marked as done. This cannot be undone from here.
- Charge now on a failed payment: you are asked Charge this failed payment now?, with the row's own words under the question and the buttons Charge and Cancel. If you go ahead, Stripe charges the card saved on the customer's account straight away and a message at the bottom of the screen says Charged. A charge cannot be undone from here. If the customer's bank needs them to confirm the payment, the row stays and says Not charged yet: the customer must confirm the payment with their bank. Stripe keeps trying.
- Offer the place on a full session: if the session does not have the places, Bizzly asks Not enough places and tells you how many are free. Choose Offer anyway (this can overbook the session) or Don't offer.
- Re-enrol a season customer: the message says Booked in. Their sessions are on the calendar. If it could not book them, the row stays and tells you why, for example that the session may be full or gone.
If a button does not work, the row stays and says why under the sentence, so nothing disappears that has not been dealt with. While a button is working you cannot close the sheet or follow a link to another screen, so you cannot lose the result.
A team member who can see an item but is not allowed to act on it sees An administrator can act on this on the row.
Emails About the Same Things
Three of these also reach you by email, so you hear about them when you are away from the console. Each email goes to every active administrator of the business, once for each thing.
The subject of each email is the same sentence the row uses, such as "Sam's payment failed", and, for a failed payment and a waiting list, the first line is the row's detail. The review email's first line says the review is waiting for your decision. Customers are named by their first name only. Each email has an Open Needs you button, which opens your console on Home, where the Needs you section is. It ends with a line saying you are getting it because you run your business on Bizzly. There is no setting to turn these emails off.
Two other emails are separate from the three above. The first is a welcome rather than a to-do: it tells you about your business's first booking, once, with an Open Bookings button; see Using Home. The other is the daily email about season enrolments that could not be booked, described in Checking Season Enrolments.
The emails are a prompt, not the place to act. Press Open Needs you in the email, or open Home, to deal with the item.
If the List Will Not Load
If the sheet cannot be read, it says What needs you could not be loaded. with a Retry button. If only some kinds could not be checked, it shows the rest with the note Some things could not be checked. The Needs you section of Home says Could not check what needs you. with its own Retry.
