There are two different things to move. You can move one booking to another session: a swap, a make-up, or a move to a different service. Or you can move a whole session to a new day or time, and everyone booked on it goes with it. Both need the Bookings and the calendar permission to change bookings.
Moving One Booking
Where to Find This
Open the booking and press Move to another session. You can open a booking from the Bookings screen or from a person's row in a session. See Looking at One Booking. On a customer's own screen, open Bookings and payments and press See all bookings to go to the Bookings screen and find it.
The sheet is headed Move this booking, with the line Move Sam from Sat 17 Oct, 10:00 to another session under it.
The Questions
The service and the person it is for stay as they are. Bizzly asks where and when:
- Which location?, when you have more than one venue
- Which day? The list opens on the booking's own day, not today, so nearby sessions show straight away. The Sessions from and Sessions to boxes widen it.
- Which session? Each session shows its time and how many places are left, and a session that cannot take this person is dimmed with the reason. A full session cannot be chosen as the place to move to. For an appointment, the question is Which time? and lists free times.
A move does not ask what pays. What paid for the booking stays with it.
More Options
More options is closed, and opens by itself if you have used it.
- Tell the customer is ticked. They get one email saying the session has moved. Untick it to move them quietly.
- Reason (optional) is kept in the booking's history, for example "make-up for missed session".
- Also move their remaining sessions of this pack appears when the booking was paid from a pack or a plan and you are moving to a session. Every later session they hold from the same pack on the same weekly series moves to the matching session of the new week, week by week. Only the session you picked is emailed about. The others move quietly.
- Allow moving to a different service adds a question, Which service should they move to?, so you can move someone up an age group that is its own service, for example. The move goes ahead only if their plan or pack already covers the new service, and, for a pack, the cancellation policy is the same.
- Is a rule in the way? has Waive the eligibility rules and Waive the booking rules. A move is held to both unless you waive them, and each waiver is recorded.
A line above the button says who will be told: The customer gets one email saying the session has moved. or No one is told that Sam's session has moved.
Notes You May See
- This moves the booking to a different week. A weekly plan allowance counts it in the new week.
- This will move Sam to Under 9s. Their cancellation and refund policy will follow the new service from now on.
- An appointment moves to a new time at its own location and service. To change either, book them afresh and cancel this one.
- Choose where and when to move them to., if you press Move before a session is chosen.
Press Move
Press Move, the button at the foot of the sheet beside Cancel. The booking itself is updated: no new charge is made, no credit is used or given back, and the plan it was booked on stays as it was. If anyone was waiting for the session it left, the freed place is offered to the waiting list. A message, Booking moved, confirms it and the sheet closes.
The booking's details then end their Paid with line with Moved, and What has happened to it gives the date and your reason. You cannot take a move back from here. To put the booking back, move it again.
If you asked for the rest of the pack to follow, or any of it could not follow, or Google Calendar did not release the old place, the sheet stays open and says what became of it, for example "Sam's session moved. Moved 3 other sessions." A list under it gives the day of each session that could not move, with the reason (a full session, or a week with no matching session), so you can move those by hand. If the old place was not released it says We could not confirm they were removed from the old session on the calendar. Check that session before relying on its places.
A booking that does not say whose it is, which happens for a role that cannot see customers, cannot be moved from here: the sheet says This booking does not say whose it is, so it cannot be moved from here.
Moving a Whole Session
Use this when a whole session needs to shift: a venue change, a coach off sick, a class moved to another evening. Every booking follows the session, reminders are updated, and each customer gets one email with the new time (Google Calendar sends nothing of its own, so they are not emailed twice).
Where to Find This
- Open the session and press Move this session (Choose a new day or time. Everyone in this session moves with it.). See Taking the Session Register.
- Or, on the Week view of a laptop or desktop window, drag the session's block to another day. The same sheet opens with that day chosen. See Your Day, Week and Month.
The sheet is headed Move this session, with the session's name and time under it.
The Sheet
- Day starts on the session's own day. You cannot choose a day before today.
- Starts is the start time on the venue's clock.
- Finishes moves with the start, so the session keeps its length, until you type a finish of your own. It says It moves with the start unless you change it. A session that runs past midnight says That is the next day. If the finish you type is not after the start, the sheet says It has to finish after it starts.
- More options holds Tell the customers, ticked. Untick it to move the session without an email.
A line above the button says how many are told: 3 customers are emailed the new time., No one is booked into it, so no one is told. or No one is told about the new time. When Bizzly has not counted the customers (after a drag, for a session that has bookings), it says Everyone booked into it is emailed the new time.
The button, Move this session, appears at the foot of the sheet beside Cancel once something has changed. After a drag it is there straight away, because the day has already changed. A time that does not exist on that day because the clocks change is refused: Choose another time.
Press it and a message, Session moved, confirms it. If you moved the session from its own screen, that screen follows the session to its new time. If you moved it from the session open beside a list or a timetable, that session closes and the list or timetable behind it updates. Open the session again at its new time if you need it.
Things to Know
- The move is real and immediate: the session changes on your Google Calendar, and customers are offered it at its new time. You cannot take it back from here, because the customers have been told. Moving it back would tell them again.
- Only a session that has not started can be moved. The Move this session row says why when it cannot: A session that has run can no longer be moved, This session is no longer on the calendar, or The time of this session could not be read just now.
- A time in the past is refused with Sessions cannot be moved into the past.
- Moving a session moves that one session, on that one day.
- A session with no limit on places cannot be moved this way, and Bizzly says so.
