Not every customer books online. When someone rings up or walks in, Payment link lets you build what they are buying from their own screen and hand them a secure payment link to pay for it themselves. You never take card details, and the places in any sessions on the link are held for them while they pay.
Where to Find This
Open Customers in your console, press the person's row, and press Payment link at the top of their screen. See A Person's Screen.
Taking money is its own permission, separate from taking bookings. Payment link is shown only to roles that can take payments, so a coach who can add a walk-in to a session does not get to make payment links unless you have also allowed it. See Managing Your Team.
If the customer is new to you, add them first with Add a customer on the Customers screen, then press Payment link on their screen. The link is made for the person whose screen you opened, so there is no customer to search for.
What You Do
The sheet is headed Payment link for followed by the person's name. It works in three parts: choose what they are buying, add it to the link, then choose how they will pay and make the link.
1. Choose What They Are Buying
Bizzly asks the questions, one at a time, in the order that suits what you chose. You answer by pressing a row:
- What are they buying? Your packs are listed under Packs, your plans and memberships under Plans and memberships, and your fees under Fees.
- Who is it for? Asked when what they chose is for one of the people they look after. If the one you want is not there, press Add a child (in your business's word) under the choices. See Adding and Changing a Child, Pet or Student.
- Which location?
- Which day and time?
- Which day?
- Which session do they start from?
Not every question is asked every time. Bizzly asks only the ones that apply to what was chosen, works out each price itself, and dims any choice it will not allow, with the reason underneath. As you answer, each answer is listed above the next question under the names What they buy, Who for, Where, Day and time, Day and Joining from, each with a Change button to go back to that question (except one Bizzly answered for you).
Which session do they start from? (in your business's word for a session) is asked only for a pack that lets the person join part-way through. The first choice is The next session with its date, and every later start follows. A start before the first session the person is eligible for is dimmed, with the reason underneath. If a session is a later one than you would expect, a note above the choices says why, for example that the person is too young for the nearer sessions.
When the pack is set to Next session only, the question is not asked. Above the read-back Bizzly says The start date is fixed to the next session the person can join. Ticking Waive the booking rules under More options lifts that fixing, and the question is asked. A season sold as a subscription is different: it always starts at the next session, and no waiver changes that. See Plans & Booking Quotas.
When every question is answered, Bizzly reads back what it has made and shows Add to the link.
If a rule is in the way. If your role allows you to waive rules, More options appears while a question is open, with Is a rule in the way? and two ticks: Waive the eligibility rules (lists and sells outside an age band or other eligibility rules) and Waive the booking rules (sells outside your booking rules). If Bizzly could not keep a waiver you ticked, it says so when the link is made.
2. Add It to the Link
Press Add to the link. The sheet now shows What is in the link?: a row for each line with its price and a Remove button, and underneath the total. A link that contains a plan shows Due when they pay, and then what the plan costs each time it renews.
Under each line's name, Bizzly lists what matters about it: the days it covers for a camp sold by the day (for example Tue 27 Oct, Wed 28 Oct), Starts Sun 8 Nov, the day of its first session, while that day is still to come, what the first payment is, and any waivers it was made under (Eligibility rules waived or Booking rules waived).
- Add something else (Another pack, plan or fee) goes back to the questions for another line.
- Add something from your shop (Kit, or anything else you sell) is shown if your plan includes the shop. It lists what is on sale (a sold out item or option is dimmed and says Sold out), then the option (Which one?) and how many (How many?), then Add to the link.
- Remove takes a line off. Nothing is kept anywhere until the link is made, so it asks nothing.
If the customer owes a once-only joining or registration fee that they have not yet paid, Bizzly adds it to the link ahead of the pack, and Working out the price shows while it decides. You can remove the fee line if it should not be charged. A second plan that bills on a schedule cannot go on the same link, and Bizzly says Only one subscription can be bought at a time: check this one out, then add the next.
3. Choose How They Will Pay, Then Make the Link
Under How will they pay? choose one:
A line above the button says exactly what pressing it will do, for example Emails Sam the link., and, when the link holds places, Their places are held until they pay or the link runs out.
Press Make the link. It is made as soon as you press, and pressing it twice makes one link. You cannot close the sheet while it is being made.
When the Link Is Ready
The sheet tells you who has the link and how: The link is on its way to Sam by email. It also works from here., or Here is the link for Sam. for one you share yourself. If the message could not go, it says The link could not be sent by email. Give it to Sam yourself. The link itself is shown in a box, on your own web address.
Under How do you want to share it?:
- Copy link puts it on your clipboard to paste into a message, and says Link copied. If your browser will not copy it, a message says "Could not copy the link. Select the text and copy it yourself." and the link is shown on the sheet for you to select.
- Show QR shows a code for someone with you to scan with their phone, with Back to the link to return.
- Send again is offered only for a link that was sent by email or on WhatsApp, and sends it the same way again.
Read anything the sheet says in amber before you hand the link over:
- Some dates are not included. Tell them before they pay: lists, line by line, any dates a part-filled pack left out.
- Some waivers were not applied. These places were held under the normal rules, so check them before they pay: names any rule you ticked that Bizzly could not waive.
- Made with these rules waived: names the waivers it did keep.
At the foot it says how long the link lasts, for example The places are held, and the link works until Fri 16 Oct, 09:00. (a link for a shop item alone holds no places and says only The link works until followed by the time). Press Done to close.
After You Have Made It
The link appears in the Payment links group on the person's screen and on the Payment links tab of the Money screen, newest first, in the same words: what it is for and how much ("Autumn pack for £45.00"), how it was shared ("Sent by email", "Link copied", "Shown as a QR code"), when it runs out and where it stands.
Press a link to open it. On the Money screen it opens in a sheet beside the list. While it can still be paid you can Copy link and Show QR, and Send again if it went by email or on WhatsApp; apart at the foot is Cancel this link, which asks first how many held places it frees. A link that has been paid, has run out or has been cancelled can only be looked at. See Following Up Your Payment Links for what each label means, what each button does and who may use them.
A link left unpaid is holding places you could be selling. Cancel the ones that go quiet. If a link expires or is cancelled without being paid, it also appears in Needs you. See Needs You.
When the Customer Has Already Paid Elsewhere
Administrators also see Record something they bought elsewhere at the foot of the sheet (Closes this. Under Allowances on their screen, a purchase made outside Bizzly can be recorded for them.). It closes this sheet and takes you back to their screen, where Allowances records a past purchase without charging anything. See A Person's Screen.
