Every customer has a screen of their own. It answers "who are they and what have they got?" in one place, and it is where you do things for them: write to them, book them in, make them a payment link, change their details, ask for a review or, if they ask, delete their data.
Where to Find This
Open Customers in your console and press a customer's row. You can also type their name into the search at the top of any screen and press the result, or press Open on the message that appears after you add someone. See Your Customers.
On a laptop or desktop window (about 1,100 pixels wide or more) the customer opens in a column beside the list, headed with their name once and, under it, the people they look after in your business's own word, and the Close button at its top takes you back to the list alone. On a wider laptop window (about 1,360 pixels or more) the first customer in the list is already open there when the screen opens. On a phone or a narrower window it is a screen of its own, headed the same way, and the back arrow returns you to Customers. The sheets you open from a person's screen (to edit, to message, to book, to give) stack over it, as described in How Changes Work.
The circular arrow (Refresh this person) reads their screen again and confirms with This person updated. It stands beside the name when the customer is in a column beside the list, and at the right of the heading when they have a screen of their own. The screen also reads itself again after a change you make from it.
Who They Are
Their name is the title of the screen, said once, with the people they look after under it. Under the title, a Needs you label appears when a payment is overdue or a plan is unpaid on any of their plans. Most customers show nothing there.
What You Can Do for Them
Under the title are the things you can do for them. A button appears only when your role may use it. They stand two to a line.
Book a session uses your business's own word for a session, so a music school sees Book a lesson.
To move a booking to another session, or to refund a payment, open Bookings and payments below.
The Summary
Under the buttons, a Summary lists what is known of them, one fact to a line, each only when there is something to say:
- Mobile, Email and Address
- Account, only when they have not signed in: Invited, expires 5 Nov 2026 when an invitation is waiting and runs out that day, or No account yet. Someone who has signed in to their own account says nothing here.
- Joined, the day they joined, with how they came to be here under it: "Added by you", "Added from a spreadsheet", "Added from HubSpot", "Started on WhatsApp" or "Signed up themselves"
- Messages, how they get messages: WhatsApp, Text message or No messages, and WhatsApp (default) until they choose
- News and offers by email, whether they said Yes, said No, or Not asked yet
- HubSpot, Linked, when they are linked to a HubSpot contact the console cannot open. When it can, Open in HubSpot stands among the buttons instead.
What Is on the Screen
Below the Summary is a list headed About this customer (or About this parent, or whatever your business calls the people who pay). Each line says in a few words how the customer stands, so you often do not need to open it. Press a line to open it, and press it again to fold it away. They stand in this order.
A line is shown only when your role is allowed to see it, and a line that could not be read says This could not be loaded just now. Try Refresh. instead of pretending the person has nothing. Plan or pack starts open when a payment is overdue, a plan is unpaid or a plan is on a price you have replaced, so the one thing that needs you is in view.
Children
If your business keeps the people a customer looks after (children, pets, students, or whatever word your business uses), the line is named by that word, for example Children. It names them with their ages, such as "Emily (6 years 9 months), Max (3½ years)", or says No children yet.
Open it and each one is a row with a mark of their initials and their age. Press a row to see or change their details, and press Add a child (or the same in your business's word, such as Add a pet) above the rows to add another. The rows show twenty at a time, with Previous and Next under them, and once there are more than twenty a search field above them finds one by name. See Adding and Changing a Child, Pet or Student.
Plan or pack
The line names the plan they hold and where it stands, then how many other plans and packs they have, for example "Autumn plan, payment overdue. 1 other plan. 2 packs". It adds On a price you have replaced when that applies, and says No plan or pack yet when there is neither.
Open it and you see Plans, then Packs.
Plans lists each plan they hold: its name, its price ("£25.00 a month"), when it Renews, Ends or its Trial ends. A plan that is running says nothing more. A plan that is not shows where it stands: an unpaid plan wears an Unpaid mark, and others, such as Payment overdue, Paused or Free trial, are said in words. A paused plan shows no date. With no plan the group says No plans.
Administrators also get:
- Used this period under each plan, listing every service the plan limits with how much is used ("2 of 4 used", or "4 of 4 used. None left"), a bar, and Unlimited for a service the plan does not limit
- a link on the row that opens the plan in Stripe
- On a price you have replaced, with a Move to the current price button, on a plan whose price you have since replaced. It opens a sheet for that person's plans and asks before it moves anything. See Moving Subscribers to the Current Price.
Packs lists the packs they bought, newest first. Each shows who it is for, how many sessions stand ("5 sessions", or "3 of 5 sessions confirmed" if some were cancelled), the next session ("Next: Sat 17 Oct, 10:00" on the venue's clock), when it is Valid until, and any credits used ("2 of 8 credits used"). A mark appears only when a pack is not simply paid and running. If there are more than fit, a line says Showing the latest 20 of 31. With none it says No packs.
Bookings and payments
The line gives the next booking and the last payment, for example "Next: Sat 17 Oct, 10:00. Last paid £45.00 on 17 Oct 2026". A role that may see only one of the two sees only that half, and a role that may see neither does not get the line.
Open it and you see:
- Coming up, their next five bookings, and Past, their last five. Each shows the service (or plan), the day and time on the venue's clock, who it is for and where. A booking that is simply confirmed says nothing, and one that is not, such as a cancelled or moved booking, says so. Pressing one opens Bookings if your role can see it. With none, the groups say Nothing booked ahead. and No past bookings.
- What they paid, for administrators only: their purchases and plan payments, newest first, each with its date and amount. A payment that went through says nothing more, and one that did not, or that was returned, says so, such as Refunded. With none it says Nothing paid yet. Press a payment to open it in a sheet called Payment, which shows the amount, where it stands, a Receipt button when there is one, and the details. A What they paid link at the top takes you back to the list. At the foot of the sheet, Refund opens Stripe's own refund form while there is something left to refund, and the button reads Open in Stripe once nothing is. Bizzly has no refund of its own. See Refunding a Payment.
- a group of rows at the foot, each shown only to a role that can use it. See all bookings opens Bookings, where you see them all or, for a role that can change bookings, move one to another session. Older payments, in Stripe (Refunds and receipts older than these) appears only when this list holds just the newest payments, and opens Stripe's list of every payment.
Payment links
The line says how many are waiting to be paid, for example 2 awaiting payment, or None awaiting payment, or No payment links yet.
Open it and you see every payment link made for them, newest first, in the words used on the Money screen: what it is for and how much ("Autumn pack for £45.00"), how it was sent ("Sent by email", "Link copied", "Shown as a QR code"), when it runs out while it can still be paid, and where it stands. The links show twenty at a time, with Previous and Next under them. Press a link to open it and copy it, show it as a QR code, send it again or cancel it. See Giving a Customer a Payment Link. If there are more than the screen holds, a line says Showing the latest 50 of 61.
Allowances
Administrators only. The line counts their limits, for example "2 limits", or says No limits linked to a product yet.
Where you have linked a limit to a product, such as a joining fee that can only be bought once, opening it shows for each limit what the person has used ("Limit 1 each", "Emily: 1 of 1 used"). A fee that one of your products limits for itself, with no limit of its own linked here, is listed too, with Not yet paid or Already paid under it. Under a limit or a fee they have not used up, Record a past purchase lets you say they bought it before they used Bizzly. On a fee it records that the fee was paid outside Bizzly (you give the date paid, and a note under More options), and it grants nothing. See Recording a Past Purchase below.
While those fees are being read the group says Reading the limits that a product sets for itself. If they cannot be read it says The limits that a product sets for itself could not be read. with a Retry button, and the limits that did load stay.
Conversation
The line quotes the newest message with its day, marked They: or You:, or says No messages yet.
Open it and you see their WhatsApp conversation with your business, oldest first: what they sent and what the Bizzly assistant answered, up to the latest thirty messages. This conversation lists WhatsApp only, so a message that went by text or email never appears in it. With none it says No messages yet.
Under the conversation, a group called Sent to them lists what your business has sent them, newest first. Each row says what the message was (for example Booking confirmation, or Message from you for one you wrote), then the way it went (Email, WhatsApp or Text message) and where it stands, for example Email · Sent 14 Oct, 09:00, WhatsApp · Queued for 16 Oct, 09:00 or Email · Could not be sent. It does not show the words of the message or the reason one failed. With none it says Nothing has been sent to them yet. A message you write with the Message button joins this group as a queued row as soon as you send it, and moves on to sent once it has gone.
If your plan does not include a part (the people you look after, or purchase limits), an administrator sees its line with Not part of your plan under it, and opening it shows a card called Not in your plan yet with a See plans button. Other roles see no line at all.
Their Answers
If your business asks customers questions about themselves, a list headed Their answers stands under the lines, with each question you ask and the answer they gave. A question they have not answered is left out, and a customer who has answered none has no list. See What You Ask About People.
Looking After Them
At the foot of the screen is Ask for a review (A text with a link to leave one), for roles that can change reviews.
Apart from it, under a line of its own, is a quiet button, Remove this customer (in your business's word, such as Remove this parent), for administrators. A hint under it says Deletes their personal data, in 30 days or now. It asks first. It starts a deletion of their personal data and always asks first. See Handling a Customer's Data Deletion Request.
Changing Their Details
Press Edit details, among the buttons under their name. A sheet opens with their name under the title.
- 1
Who are they?
Display name is how they show in your lists, and cannot be left blank. Then First name and Last name.
- 2
How do you reach them?
Mobile number, and Email, which is shown but cannot be changed here because it is how they sign in. Include the country code, such as +34, unless it is a number from your own country.
- 3
Look in More options if you need to
More options is closed under a line that says what is set in it. It holds Where do they live? (street address, city, state or province, postal code and country), What can you send them? and What else do you know about them? (your own questions). In What can you send them? you can tick Send them news and offers by email (a note says They have not been asked yet. until they have answered), and choose How they get messages: Text message or No messages. While they have never chosen, a third choice, WhatsApp (default), is there too, with the note They have not chosen. Messages go on WhatsApp until they do. WhatsApp is the customer's own choice, so if they chose it the sheet says They get messages on WhatsApp. They chose it themselves, so only they can change it.
- 4
Press Save
Only what you changed is saved. Until you change something, the top of the sheet says Saved and there is no Save button. A message at the bottom reads Details changed with an Undo button for a few seconds. Where part of a change cannot be put back (for example a marketing or messaging answer the customer had never given), the sheet says so under Save before you press it, for example Undo will not put back the messaging choice.
Sending an Invitation
For someone who has not signed in yet, the sheet also has a row, Have they set up their account?, with Send an invite (or Send the invite again when one is waiting). It says They get an email with a link to set a password. An earlier link stops working. After it goes, the sheet says Invite sent. It works until followed by the day. If the email cannot be sent, the sheet shows a link for you to give them another way. Sending an invitation is not part of Save, and it cannot be undone.
Asking for a Review
Press Ask for a review. The sheet says first how the request will go: A text goes to their mobile with a link to leave a review, and an email too. (or just the text, if there is no email address). If they have chosen no messages, or have no mobile number, it says so and Send the request stays greyed out.
If you have asked this person before, the sheet lists each earlier request as a row reading Asked on and the day (for example Asked on 17 Oct 2026), with Left a review, The link ran out or Not answered yet at the right. That way you do not ask twice by accident.
Press Send the request. It goes out straight away and cannot be unsent. The message at the bottom reads Review request sent. It cannot be unsent. If the text went and the email did not, it says Review request sent by text. The email could not be sent.
Recording a Past Purchase
Someone who paid your joining fee before they used Bizzly should not be asked for it again. Open Allowances, then press Record a past purchase on the limit or fee.
- A sheet opens saying Use this for something they bought before they used Bizzly. It only records it. Nothing is charged or refunded.
- If the limit is counted for each child and more than one can still have a purchase recorded, choose Who it was for. With one left the sheet says who, and for a limit shared by the whole account there is no question.
- Set Date paid. It cannot be a day to come.
- Under More options you can add a Note that only you see.
- Press Record it. The message reads Recorded. It counts towards their limit.
Each purchase you recorded appears as a row under its limit (Recorded 1 Aug 2026, with who it was for and your note). Press it to see it, and use Remove this record at the foot if it was a mistake. It asks Remove this record? first, because the limit will stop counting it and they could buy it again. Nothing is refunded, because nothing was charged. Records Bizzly made itself from real purchases are shown as plain lines and cannot be removed.
What Your Role Sees
A team member sees only the lines and buttons their role allows.
If you follow a link to someone who is not one of your customers, the screen says No one here by that name with a Back to Customers button. If your role does not include customers at all, it says Your role does not include people. To change what a colleague can see, see Managing Your Team.
