When you give a customer a payment link, their places are held while they pay. The Payment links tab on the Money screen is where you follow those links up: who has paid, who has not, and what you can do about a link that is still waiting.
Where to Find This
Open Money in your console and choose the Payment links tab. The filled Payment link button at the right of the heading takes you straight to it. While any link is waiting, the figure Waiting to be paid at the head of the screen counts them, with a note such as "3 payment links". See The Money Screen.
On a laptop the tab arrives with its first link already open in a pane beside the list, with its row marked. Close the pane and it stays closed. Choosing another of the choices below opens the first link of that list. A phone opens nothing by itself.
To make a new link, open the customer's own screen from Customers and press Payment link. See Giving a Customer a Payment Link. A customer's own links are also listed on their screen, under Payment links, and open the same way.
A role sees this tab when it has View or Change on Payments taken for customers. View lets it look at the links, and Change lets it copy, show, resend and cancel them. A role that can only look sees the note "You can look at this, but your role cannot change it. Ask an administrator." See Managing Your Team.
The List
At the top, a line says what a link is: "A link holds the places until it is paid. Copy it, show it as a QR code, or send it again." Under it, three choices pick the list:
- Awaiting: links that have not been paid
- Paid: links that have been paid
- All: every link
The tab opens on Awaiting when anything is waiting, and on All when nothing is, so you are not left looking at an empty list. If a list is empty it says Nothing is awaiting payment., No payment link has been paid yet. or You have not made a payment link yet.
The links are listed newest first, twenty at a time. When there is more than one page, Previous, a line such as 21 to 40 of 45 and Next stand under the list. This tab has a search box of its own, which says "Search payment links by name, email or phone". It looks through all your links, not only the page you are on, and the line under the list then counts the matches. When none match it says No payment link matches your words. The search at the top of the screen does not narrow this list.
Each row says:
- what the link is for and what it asks, such as Autumn pack for £45.00, or 2 things for £90.00 when it holds more than one line. A link whose lines have no names says Payment link for £45.00
- who it is for, or A customer when Bizzly has no name
- how it was shared: Sent by email, Sent on WhatsApp, Sent by text message, Link copied or Shown as a QR code
- Made by the WhatsApp assistant, on a link the assistant made
- while it can still be paid, when it runs out, such as Runs out tomorrow at 3pm. Otherwise the day it was made, such as Made Thu 15 Oct
- a label for where it stands
Where a Link Stands
A link holds its places for 24 hours from when it was made. Links that run out are tidied up by Bizzly, and their places go back on sale without you doing anything.
Opening a Link
Press a link. Its Payment link sheet opens in a column beside the list, which stays where it was and marks the link you opened. On a narrower window the sheet opens over the right-hand edge, and on a phone it fills the screen, with Back at its top. It repeats what the row said, adds a sentence saying what the label means, and, while the link can still be paid, when it runs out.
On a link that can still be paid, and for a role that may act on it, you can do four things.
Pass it on
Under How do you want to share it?:
- Copy link puts it on your clipboard to paste into a message, and a message at the bottom says Link copied. If your browser blocks the clipboard, a message says "Could not copy the link. Select the text and copy it yourself." and the link is shown on the sheet for you to select.
- Show QR changes the sheet to Scan to pay with the line "Show this to the customer. They scan it with their phone to pay." Use Back to the link to return. It is for someone standing with you.
- Send again is offered only for a link that was first sent by email or on WhatsApp, and it sends it the same way again ("Sends it by email again"). It asks nothing first, and a message says Sent again. If the message could not go, the sheet says "The message could not be sent. Copy the link and give it to them yourself."
Cancel it
Apart from those, at the foot, is Cancel this link ("The link stops working and the places held for it are freed"). It asks first. If the link holds places it asks Release 2 held places?, and otherwise Cancel this payment link?. The question says "The customer will not be able to pay with this link any more, and the places held for them go back on sale. This cannot be undone." The words about the places going back on sale appear only when the link holds places. For a link that holds none, such as one for a shop item alone, it says "The customer will not be able to pay with this link any more. This cannot be undone." Either way the question lists what was in the link. Choose Cancel the link, or Keep the link to leave it as it is.
When it is done, a message says Payment link cancelled. This cannot be undone. and the sheet closes, leaving you at the list. You cannot close the sheet while a link is being sent again or cancelled.
A link that has been paid, has run out or has been cancelled has nothing to do on it. If you press a button on a link that has changed since you opened the list, for example one that was paid a moment ago, the sheet says so and the list reads again, so the link shows where it now stands.
A link left unpaid is holding places you could be selling. Cancel the ones that go quiet. A link that runs out or is cancelled without being paid also appears in Needs you. See Needs You.
