Booking Appointments

Beginner5 minutes

Once you've selected a service, the booking calendar appears so you can choose a date and time. This guide walks you through the full booking flow.

Step 1: Choose a Date

The calendar shows a month view on the left side of the screen. Each day is colour-coded:

  • Green — available time slots exist
  • Blue — the day you've currently selected
  • Grey — no availability (past dates or fully booked)

Use the ‹ and › arrows to navigate between months. Click on a green day to see what times are available.

A legend below the calendar explains the colour coding.

Step 2: Choose a Time Slot

After selecting a day, the right-hand panel shows available time slots grouped into three sections:

  • Morning (sunrise icon) — slots before 12:00 PM
  • Afternoon (sun icon) — slots from 12:00 PM to 5:00 PM
  • Evening (moon icon) — slots from 5:00 PM onwards

Each section shows a count of available slots. Time slots appear as compact chips (e.g. "9:30 AM", "2:00 PM").

Slot Badges

Depending on your account, slots may show small badges:

  • Plan name — indicates the slot is included in your subscription
  • Credit — indicates you can use a purchased credit pack for this slot
  • Service name — shown when you're browsing without signing in

Slot Status

Some slots may be unavailable:

  • Past — the time has already passed today
  • Full — all spots are taken (for group services)
  • X left — limited spots remaining (shown when 30% or fewer spots are left)

Selecting a Slot

Click a time chip to select it. A detail card slides in above showing:

  • The time range (e.g. "2:00 PM – 3:00 PM")
  • Capacity info for group services (e.g. "3/10 spots")
  • Service and plan badges
  • A Book button to proceed

Step 3: Confirm Your Booking

Clicking Book opens a confirmation modal with the full booking details.

What You'll See

The modal shows:

  • Service name and description
  • Date and time of the appointment
  • Location — the venue name and address (if applicable)
  • Your quota — how many sessions you have remaining this period

Location Modes

Depending on how the business operates, you may see:

  • Physical location — an address with a map pin
  • Virtual — a Google Meet link is added to the booking automatically
  • At your location — you'll be asked to enter your address, which is shared with the provider

Recurring Bookings

If the service supports recurring bookings, you may see options to:

  • Book a single session
  • Book weekly — same day and time each week
  • Book fortnightly — same day and time every two weeks

The modal will show which dates are available and which aren't for your chosen recurring pattern.

Confirming

Review the details and click Confirm Booking. You'll see a success message when the booking is created.

What If I'm Not Signed In?

If you haven't signed in yet:

  • You can still browse available dates and time slots
  • When you click Book or select a slot, you'll see a "Sign in to book" button instead
  • Clicking it redirects you to the sign-in page, then returns you to the calendar

What If I Don't Have a Plan?

If you're signed in but your subscription doesn't include the selected service:

  • Slots that require a plan you don't have will show an "Upgrade Plan" or "Get Plan" button
  • Clicking it takes you to the pricing page where you can subscribe

If you've purchased one-off credit packs that cover the service, those slots will still be available to book.

Multiple Calendars

Some businesses have more than one calendar (e.g. different staff members or locations). If so, you'll see calendar tabs at the top — pill-shaped buttons you can click to switch between them. Each tab loads its own set of available dates and times.

Tips

  • Slots update in real time — availability may change as others book
  • Navigate months freely — availability is cached for fast loading
  • Check the legend — the colour key below the calendar explains what each day colour means
  • Group services show remaining capacity so you know how many spots are left

Troubleshooting

"No available slots for this day" Try a different date, or check if the service is offered on the day you selected. Some services only run on certain days.

Red error banner This usually means the calendar connection has a temporary issue. Try refreshing the page.

Slot disappeared after I selected it Someone else may have booked it. Select a different available slot.
